Privacy Policy

This Privacy Policy explains how Screen Pulse (“we”, “us”, “our”) collects, uses, stores, and protects information in connection with the Screen Pulse CRM application (the “Service”). By using the Service, or by connecting a third-party account such as Zoom to it, you agree to this Policy.
1. Who uses the Service
The Service is an internal customer-relationship tool used by our authorized staff to manage leads, deals, and customer accounts, and to schedule product demonstrations. It is not a consumer product and is not directed to the general public or to children.
2. Information we collect
- Staff account information — name, email, and role of the staff members we grant access to the Service.
- Customer and lead information — details our staff enter about prospective and existing customers (such as business name, contact name, email, and phone) in order to serve them.
- Meeting information — the demos our staff schedule (date, time, duration, attendee, and the generated meeting link).
- Connected-account tokens — when a staff member connects a third-party account (such as Zoom), we store the access and refresh credentials that account provides (see the Zoom section below).
- Usage and technical data — standard log data needed to operate and secure the Service.
3. Zoom integration
The Service integrates with Zoom so that our staff can create Zoom meetings for scheduled customer demos. This section describes exactly how we handle Zoom data, consistent with Zoom’s developer and data policies.
- What we access. When a staff member chooses to connect their Zoom account, they authorize the Service through Zoom’s OAuth consent screen. We use that authorization onlyto create and manage Zoom meetings on that staff member’s behalf for demos scheduled in the Service.
- What we store. We store the OAuth access token and refresh token that Zoom issues, and basic account identifiers (such as the connected account’s email). These tokens are stored encrypted at rest. For each meeting we create, we store the meeting’s join link, identifier, title, time, and duration.
- What we do NOT do. We do not access your Zoom cloud recordings, chat, contacts, or any Zoom data beyond what is required to create and manage the demo meetings described here. We do not sell Zoom data, and we do not use it for advertising.
- Disconnecting. A staff member can disconnect Zoom from the Service at any time, which deletes the stored Zoom tokens for their account. You may also revoke the Service’s access from your Zoom account settings at the Zoom Marketplace.
- Retention. Zoom tokens are retained only while the connection is active. When a connection is removed (by disconnecting, or if a token can no longer be refreshed), the stored tokens are deleted.
4. How we use information
- To operate the Service — managing leads, deals, and accounts, and scheduling and delivering demos.
- To create Zoom meetings and share the resulting join link with the intended attendee.
- To secure, maintain, and improve the Service.
- To comply with legal obligations.
5. How we share information
We do not sell personal information. We share information only as needed to run the Service:
- Zoom — to create meetings, as described above.
- Communication providers — our email and SMS providers, solely to deliver meeting links and related notifications.
- Service providers — infrastructure and hosting providers that operate the Service under confidentiality obligations.
- Legal — where required by law or to protect our rights and users.
6. Data security
We use industry-standard measures to protect information, including encryption of sensitive credentials (such as connected-account tokens) at rest and encrypted transport (HTTPS). No method of transmission or storage is completely secure, but we work to protect information appropriate to its sensitivity.
7. Data retention
We retain information for as long as needed to provide the Service and for legitimate business or legal purposes, after which it is deleted or de-identified. Connected-account tokens are retained only while the connection is active (see the Zoom section).
8. Your choices and rights
- Disconnect a connected account (such as Zoom) at any time from within the Service.
- Request access to, correction of, or deletion of personal information we hold, by contacting us.
9. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
